Adding Documents In Onboarding – Candidates

Overview

Before you can start working shifts through KARE, your profile must be complete.

KARE requires documentation in your profile in order to make sure that your account is complete, verify your eligibility to work in your designated state and to ensure you can be paid. This guide walks you through how to upload your supplemental information. Doing this early helps you get approved and working faster.

 

Documentation Uploading

While your license is being reviewed, you can start uploading your documents to speed up the process.

 

Required Documents

After accepting the SMS Opt-In, Terms of Service, and Privacy Policy, you will see the ability to complete documentation.

  • Tap on Required Documents  to view what’s needed for your state. You can also upload Optional Documents to strengthen your HERO Profile.

 

  • Why upload optional documents?
    Some communities prefer additional certifications or information. Uploading these can improve your chances of getting selected for shifts.

 

Uploading Documents

For each required document, you will see one of two options:

  • Add New Document – Upload a photo or file from your phone.
  • Fill Out New Form – Fill out a form right from your phone.

Add New Document

To upload a document in the KARE Heroes App:

  1. Tap the + icon.
  2. Choose take a photo or select one from your gallery.
  3. You may also need to enter in a completion date or expiration date. Tap on the field and find/select the correct date.
  4. Tap Submit for Review

Once you submit one document, you can go back to the list to add more documents.

 

Having Trouble Uploading your Documents?

If you are having issues uploading your documents (PDF files or pictures) through the KARE Heroes App, do not worry! You can also send them via email to karerecruiting@doyoukare.com

Every time you send a text message or an email, those channels are actually reply-friendly, and someone from our team will get back to you. This is a quick and easy way to share your documents or ask a question if the upload isn’t working.

 

Fill Out New Form

Some documents are fillable directly in the app.

Examples include:

  • Yearly Influenza Declaration Form.
  • Background Check Authorization Form
  • Health Status Attestation Form

To fill out a new form into KARE Heroes App, follow these instructions:

  1. Tap Fill Out New Form
  2. Enter in the data fields requested.
  3. Tap Generate PDF
  4. Tap Go to Sign
  5. Draw your signature in the box.
    1. Tap Reset to try again if needed.
  6. Then tap Sign and Send.
  7. The form will turn into a PDF
  8. Add any completion or expiration dates required.
  9. Tap Submit for Review to continue.

 

Document and Form Submission Confirmation

You will see a confirmation message each time your document is submitted successfully to KARE.

    

 

Resume

KARE must have a resume on file to show your skills and experience history.

You can either upload an existing resume or build one in the app.

Uploading a Resume File

If you already have a resume:

  1. Tap Add Resume
  2. Tap Add Resume, then find your file in your phone.
    1. NOTE: Only images can be uploaded at this time
  3. Tap Submit when ready.

 

 

Use the Resume Builder

To build your resume in the app:

  1. Tap Add Work Experience
  2. Fill in your job history
  3. Tap Submit
  4. Repeat to add more work experience.
  5. Tap Add Education
  6. Fill in education information
  7. Tap Submit
  8. Continue these steps to add all education
  9. Tap Add Skill
  10. Enter relevant skills for senior living communities
  11. Tap Submit

When you are done with your Experience, Education, and Skills section, tap Submit to finalize your resume.

 

Bank Account

To receive payments, you must link a bank account.

 

Some banks qualify for HERO Real-Time Pay (HRTP), which means you can get paid instantly. You will see a list of eligible banks inside the tab.

When you are ready, enter your routing and account numbers.

 

Tap the question mark icons if you need help.

Then tap Save New Bank Account.

 

Tax Form

Since you are an independent contractor, you need to complete your W-9 Form.

  • Make sure all your info is correct.

  • Tap Review and Sign to add your signature and submit.

Profile Review

Overview

Thank you for submitting your documentation! You are now just one step away from becoming an approved HERO. This is the Boss Level and we’re excited to bring you on board.

Profile Review Process and Results

Once you’ve submitted all required documents, your profile enters the final review stage of the onboarding process. Our team carefully reviews each submission to ensure that everything is complete and accurate. Based on the outcome, here’s what may happen:

 

If Your Profile is Approved

  • You are identified as a HERO and can start searching for and applying to shifts.

  • We will attempt to contact you for a Welcome Call to help you find the best shifts and set your profile up for success.

  • If we cannot reach you, that’s ok! You can start exploring the app, setting your filters, and applying for shifts yourself!

 

If Something is Missing or Needs Attention

  • Your profile will be flagged, and our team will try to reach out to get the missing document(s).

  • If we don not receive a response or if the required documentation is not available, your profile will be rejected.

Important Notes

For New Candidates

  • If you are a new applicant, your profile will be reviewed in the order it was received.

  • We commit to giving you an answer within 24 hours max from the moment you’ve sent everything required.

For Re-Approvals (Returning HEROES)

If you are a returning HERO with confirmed shifts, your profile will be prioritized so you can continue working without interruption.

We know how important your time and dedication are, thank you for being patient during this process. Our mission is to get you ready to serve as soon as possible.

This is our chance to connect with you, get to know your caregiving background, and share what it means to be a KARE HERO! We will attempt to call you at your time and then, if you do not answer, 2 more times within 24 hrs.

If still no answer after the second attempt, you will be moved to Awaiting Documents for further missing documentation in your profile.

Signing up with KARE

Overview

The sign-up process in the KARE Heroes App is designed to guide you step by step. You will provide basic information, review and accept the Terms of Service and Privacy Policy, and verify your identity if needed.

Once your account is created, you will have access to some features and can begin your credentialing process to become a certified HERO.

 

Getting Started

  1. Download the KARE Heroes App and tap the Sign Up button.

 

2. Enter your basic information.

    • You may take a photo using your phone or choose one from your gallery.

    • The photo must show you clearly in front of a solid color background, with no filters.

3. You can also sign up using your Google or Apple account.

:warning: Important for Apple users:

If you signed up with Sign in with Apple, your email may look like a random address ending in @privaterelay.appleid.com.

This is a temporary email generated by Apple to protect your privacy. However, using this email can block important messages, like drug screening invites, background checks or verification steps.

If prompted by your iPhone, choose Use my email address (not Hide my email) to avoid delays. Be sure to use your real personal email (e.g., Gmail, Outlook, etc) where you can receive updates directly.

4. The system will send a verification code to your phone.

  • Enter the code in the text box to confirm your number.

 

5. After verifying your phone number, continue entering your personal details to complete your profile.

 

To enter a date, tap the Edit button to type it manually.

 

Tap the question mark icon in the SSN box if you need more information.

6. Tap Continue to begin license verification.

  • You will need to enter the state, type of license, and license number.

Working with KARE W9 Form – Taxation and 1099 Status

Overview

In this article, we will discuss how being a KARE HERO affects your tax status.

Disclaimer: Any tax and legal information is merely a summary of our understanding and interpretation of the current laws and regulations and is not exhaustive. Please consult with a tax or legal counsel for advice and information concerning your particular situation.

 

Worker Classification

By working with KARE, you are considered an “independent contractor” commonly referred to as “contractors, 1099 employees, 1099 workers, etc…” The number 1099 refers to the tax form that “1099 workers” receive from their employer. This form lists how much money was paid out over the course of the year.

The IRS classifies workers who receive 1099s as nonemployees. A nonemployee is subject to different working conditions and doesn’t receive the same benefits and payroll deductions as a traditional employee.

 

KARE’s Responsibility

When you sign up with KARE, we require you to sign a W-9 form with your tax information, including your Social Security Number (SSN). This is legally required in order for us to correctly file tax forms at the beginning of the following year. You can find your W-9 form by going to Profile > W-9 Form on the Heroes app.

If you earned money (usually over $600) with KARE over the course of the year, we will send you a 1099-NEC form, typically in email, for you to file with your taxes. If you cannot find it, check your “junk” or “spam” folders or reach out to KARE. Anyone earning less than $600 does not receive a 1099 form.

Keep this for your records so you can report the proper amount of income when filing taxes.

 

HERO Responsibility

It is the independent contractor’s responsibility to report income and pay taxes. KARE does NOT take out taxes or expenses that are typically taken out with a traditional employer.

Earning Extra Money by Referring Friends – KARE Club

Overview

Do you love working with KARE so much and want your friends to join?

Not only can you invite your friends to join KARE, but you can also earn extra money if they work shifts! KARE Club is our unique referral program!

 

KARE Club Process

When you refer a friend who joins as a “HERO,” you get a bonus.

KARE Club is the official referral program in the KARE Heroes App. When you refer a friend who joins as a HERO, you become their SuperHERO and they become your Sidekick.

  • You earn KARE Cash every time your Sidekick works a shift.

  • KARE Cash can be converted into real cash.

  • The more Sidekicks you refer and the more you work, the more you earn.

You must work at least 4 shifts per month to receive KARE Cash from your Sidekicks.

 

KARE Club in the App

To get to KARE Club, locate the option on the bottom of your navigation bar. In this section, you will find an overview of your earnings and performance, including:

  • KARE Cash Earned per Month:

    Displays the total amount of KARE Cash earned for the current month.

  • Potential Earned:

    Shows what you could earn if you worked at least the same number of shifts as your sidekicks.

  • Total Earnings to Date:

    Lists the total amount of KARE Cash earned

  • Completed Shifts:

    Shows the number of shifts you have completed this month. To earn KARE Cash from Sidekicks, you must complete at least 4 shift each month and your sidekicks work shifts.

  • Sidekick Performance:

See how many shifts each Sidekick has worked.

 

Refer more friends or view referral rates by tapping the buttons at the bottom.

 

Tap the “?” icon to view how Potential Earned is calculated.

 

Tip: To reach your full earning potential, try to match or exceed your SideKicks’ shift count. If your Earned amount is lower, some of your SideKicks have worked more than you.

 

Viewing Referral Rates

The View Rates button provides detailed information on the KARE Cash rates for each role, based on the selected market. This allows you to see the pay rates for different positions in your area.

 

How to Refer your Friends

To invite your friends to join KARE, tap the Refer Friends button. You will be prompted to allow the app to access your contacts, making it easier to invite friends directly from your list.

Once you have selected the friends you would like to invite, tap Invite to send the invitation.

 

 

You will get a confirmation message:

 

KARE Club is a great way to earn extra income by referring friends to join the HERO community. By tracking your KARE Cash and performance in the app, you can stay on top of your earnings and see how your sidekicks are performing. The more friends you refer, the more you can earn!

How to Become a KARE HERO?

To become a KARE HERO, all users must complete a “candidate” onboarding process. This process ensures that you are eligible to work as a caregiver in senior living. The onboarding process includes the following steps:

Users are required to signup on KARE Heroes to start the process of becoming a HERO. The first portions of signing up require inputting basic information about yourself and verifying your phone number via a code. Once through the phone verification process, you will be prompted to input additional personal information.

Step 1: Verifying your License

All Heroes are required to show proof of a valid healthcare license. You will be asked to specify details of your license from the following categories:

If you do not have a license number on hand, you can still proceed without one by tapping the “I do not own a license number” checkbox. Submit your license information by tapping the “Submit for Review” button. Once submitted, KARE onboarding specialists will review your information and validate whether your license is valid. You will receive a notification once your license is approved.

Step 2: Go Through an Interview

KARE loves to get to know its Heroes before they start working. Once your license is verified, our onboarding specialists will typically call you within 24 hours during weekdays or 48 hours on weekends to initiate an interview lasting 10-12 minutes. If you don’t want to wait, you can always call us through a number provided on the Heroes app!

Step 3: Upload Required Supporting Documents

In order to ensure that your profile is complete and compliant, we require candidates to upload documents required by the state you are licensed in, tax forms, bank account information, resumes, and background check processing documents. Be sure to upload all required items to avoid delays in your approval process. Not all states will require the same documentation.

W9 FORM

KARE W-9 Form – Tax Information and 1099 Status

Since KARE Heroes are classified as 1099 independent contractors, you are required to submit a completed W-9 form as part of your onboarding.
This form helps us report your earnings correctly to the IRS and ensures you get the appropriate tax documents at the end of the year.

Your W-9 will be saved to your profile and submitted to the KARE team for review. You won’t be able to receive payments without this step, so make sure it’s done early in the process!

 

Step 4: Background Checks and Drug Screenings

In order to be compliant with state laws, as well as give communities peace of mind when accepting a HERO applicant, we require Heroes to submit background check and drug screenings.

Once you have gotten to step 4, you will receive an email through KARE’s drug and background check partner, Checkr. Follow the instructions through your email to get started.

Step 5: Final Profile Review

After uploading all required documents and completing the proper background check/drug screen forms, your profile will be reviewed one final time by our onboarding specialists. Each document will display a review status indicating what it is been approved or still under review.

Selecting Cities

Once you have been approved to become a HERO, you will need to select cities/market areas to start seeing shifts. Markets are separated by state. You can select multiple markets if you plan on working in different states/cities or are interested in viewing what other states/cities have to offer.

Utilizing Checkr for Health Screens and/or Background Checks

Overview

Working in senior living communities, skilled nursing, hospice, or other post-acute facilities require additional background and drug screens across the US. In order to satisfy these requirements and ensure that our KARE Heroes are able to work, we require all Candidates to pass background checks and health screens. This guide will take you through the step by step process of how to use our technology partner Checkr to book health screen appointments and complete your background check.

 

ℹ️ Not all states utilize Checkr for Background Checks. If you have state-specific questions, please contact our KARE Support team (contact information listed below).

 

What is Checkr?

Checkr is a technology platform that partners with KARE to initiate background check and health screen services for KARE Heroes and candidates. As part of the onboarding experience, Heroes are offered free health screens and drug tests via Checkr. If you’d like more information on our partner, Checkr, please visit their website.

 

Step 1: Receiving an Email from Checkr

You will receive an email from KARE’s trusted partner, Checkr Background Services, to initiate your background check or drug screen. Sometimes these emails may end up in the junk/spam folders if not in inbox. If there are still problems with finding the invitation, please contact the KARE support team.

The typical email title for your invitation may include “Start your KARE LLC background check.”

Step 2: Fill Out your Personal Information

Welcome emails will contain a link that will redirect you to a new site asking you to fill out your contact information, personal information, and an authorization to consent of Checkr’s Terms of Service and Privacy Policy.

 

Step 3: Find a Healthcare Provider Near You

After you’ve filled out personal information and consented to Checkr’s terms of service and privacy policy, you will be prompted to enter your location to find a contracted health screen provider near you.

 

Step 4: Consent and Agree to Summary of Your Rights

You’ll be required to consent and agree to a Summary of Your Rights to proceed.

 

Step 5: Acknowledge Disclosure Agreements

You will be required to acknowledge the disclosure agreement about health screens and/or background investigations. Note background investigation information is not relevant if you are receiving a health screen.

 

Step 6: Submit Electronic Signatures for Health Screen Authorization

As a HERO or candidate, you are required to authorize Checkr to process health screen results after your appointment. At the bottom of the screen, sign your name, verify you are not a robot, and click the green Submit button.

 

Step 7: Follow Further Instructions Before Appointment

Once you have completed the Checkr health screen questionnaire and consent forms, you will receive another email from Checkr Background Services with further instructions. This email will contain a link to download your health screen pass to bring to your appointment. Note there may be up to a 10-20 minute delay before the email arrives.
